Sharing/Integration SharePoint Documents to Website

Executive Summary

ABC is one of the most prestigious companies in New Zealand that provides water tanks, water pumps and wastewater treatment system solutions. ABC also provides numerous household and industrial heating solutions. ABC is New Zealand’s leading expert in central and underfloor  heating systems. As a part of the web advertising strategy, they have a website which lists their services. It also uses SharePoint 2013 online to store, share, and collaborate official documents. At many occasions, ABC had to send Word/PDF documents to clients for reviews and approvals. ABC used to send the document location (URL) via email and then send it to the client’s mailbox or as a mail attachment. 

Problems faced by ABC Company

1. If ABC had to send six documents to the same client, they had to paste six different URLs in each email with a description of its location in the document. This caused confusion for both the clients and ABC. ABC wanted to use only one URL to share documents with their clients.

2. Sharing the documents also lead to confusion for ABC employees. For example: 

   a. Which documents did he/she share with the client? 
   b. Did he/she send the correct link to the client? 
   c. After a few weeks, it was difficult to realize which documents were shared with the client.
   d. Which document did he/she already share with the client? 


The sharing of the document not only caused confusion for the ABC’s employee, but it also upset customers as they constantly received the same documents. Sometimes, they they did not even receive the required document. 


3. The situation worsened for the salesman when he had to keep track of hundreds of clients separately

4. Sharing documents or sending them over emails created multiple copies for the client. Company ABC wanted the document to be viewable only and without the ability to save.  


5. ABC also wanted the document to be unavailable for the client’s company after a certain period of time. 

ABC employees tried to solve their problems by organizing the details of the shared document in MS Excel sheets with the store’s client name, the folder location, and name of the stored document. But with the growing number of clients and emails, it became difficult to share the correct documents with the right clients. 

This process was complex and required human intervention to track official documents. The business was facing the following problems:

 ·         Sometimes wrong documents were sent to clients. This resulted in losing a prospect, and a poor sense of reliability.

 ·        The process was complex, time consuming, and prone to errors. 

Our Solution Provided through SharePoint


ABC wanted a solution that could integrate with their existing website and still allow read-only access to their documents in SharePoint. We helped them by setting up an App (i.e. Online sharing/integration of documents from SharePoint to website by adding a fully functional webpage integrated into their own company website) to cater their needs. We provided the following functionalities:

XRM Labs came to the rescue, understanding the challenge of implementing the solution, with no code changes to the website; we chose to implement the solution using MS CRM 2013 Email Synchronization.

 

1.       We chose to implement the solution using MS CRM 2013 Email Synchronization. We created a SharePoint online App, which can store the location of the existing SharePoint folder, its start date, and end date with an external URL.

2.       We also customized the SharePoint ribbon to add a button called “Get External URL”. Clicking this button will launch the SharePoint App described in Step #1.

3.      With our solution, ABC can simply select the folder that they want to share and click on the button. This will launch the application. After saving the record in the App, a single URL will be generated and can be sent to the client’s email.

4.       ABC employees will now send the link to their client over the email.

5.       When ABC’s client clicks on the URL, the SharePoint App will integrate the folder details to the company’s website, which will show all of the contents in the folder. The client can then click on a particular document to preview the it on the left hand side pane  

To download a PDF version, the client will have to click a button which will give him a link to download the PDF, if present.
